Business Outcomes Settings
Company Admins and Business Lines Admins can adjust settings on the Business Outcomes Dashboard. After going to the Business Outcomes Dashboard, click the Settings link.
In the Settings area, you can create Custom Fields, edit Categories and Tags, update Dashboard Settings, and Manage Permissions. This area is available when in Card View.
Custom Fields
Some companies may create custom fields to populate the Custom Fields tab on cards. A custom field can be used to track company-specific information not already included on a card. Below, the examples are Sponsor Name and Investment Code. Custom fields you create will be available to your entire company, for all card types.
To add, edit, or delete custom fields, in the Settings area, choose Manage Custom Fields. You will be redirected to the global settings page for Business Outcomes for now. In the future, this will be adjusted so that you remain in the dashboard when updating this setting.
On the Manage Custom Fields page, you can add a custom field by clicking the + Add Custom Field link. Edit an existing field by putting your cursor in the box and editing the text. Delete an existing field by clicking the trashcan icon. Rearrange the order of existing fields by clicking and holding, then dragging the eight-dot image to the left of each field name. Click Save when you are finished editing.
Categories and Tags
The Business Outcomes Dashboard by default has three views available in Card View: Business Outcomes, Initiatives, and Deliverables. Company Admins and Business Lines Admins can rename Initiatives and Deliverables to titles that better suit your company.
The Business Outcomes view has two categories or tag labels, which cannot be edited: Annually or Quarterly.
The Initiatives and Deliverables views both have two categories or tag labels by default - Sub-Teams, which cannot be edited, and either Initiatives Timeline and Deliverables Timeline, which can be renamed.
Additional categories or tag labels can be created for any of the three views by Company Admins and Business Lines Admins. When a category or tag label is created, it becomes available in the drop-down as another view, and any tags created within this category become the column headings displayed on the dashboard.
In the below example, the category or tag label created was Line of Business and the tags created were Auto, Cable, Electric, Water, and CFA, shown as column headers.
Once created, users will see categories or tag labels and be able to select multiple tags to filter by in the filter dropdown in the upper left of the Business Outcomes Dashboard.
Once created, tags for each view can be added to a card for that view in the Tags dropdown.
When you create categories or tag labels and individual tags within those categories, they will be available to your entire company. To add, edit, or delete categories or tag labels and tags, in the Settings area, choose Manage Business Outcomes Tags. You will be redirected to the global settings page for Business Outcomes for now. In the future, this will be adjusted so that you remain in the dashboard when updating this setting.
You will see each category or tag label in its own box, with the correlating individual tags beneath. Add a category by selecting which view you wish to customize and then clicking the +Add Tag Label link.
You can add a tag to a category by clicking the + Add Tag link. Edit an existing tag by putting your cursor in the box and editing the text. You can also pick a color for each tag, if you wish, by clicking the color palette icon.
When you filter cards on the dashboard, an infographic will appear showing you how many cards for each filter choice are showing on the board, along with their corresponding color.
Delete an existing tag by clicking the trash can icon. Rearrange the order of existing tags by clicking and holding, then dragging the six-dot image to the left of each tag name. Click Save when you are finished editing.
Turning on the Kanban Mode Toggle for a category will allow cards to be moved from column to column when that category is selected as the view.
Dashboard Settings
To enable or disable dashboard settings, visit Dashboard Settings in the Settings area. You will be redirected to the global settings page for Business Outcomes for now. In the future, this will be adjusted so that you remain in the dashboard when updating this setting.
Company Admins and Business Lines Admins can choose to change the settings to display the company-level 3-year outcomes (the first column of the board) at every level of the dashboard as users select different levels in the left navigation or they can turn this off. This change will be shown to the entire company when enabled and not available to the entire company when disabled.
Adjust the Display Company Level Outcomes on Every Level toggle so that it is positioned to the right of the screen to enable and do the opposite to disable.
You can also adjust how the filter for tags in the upper left of the dashboard works. To filter cards that meet all of the tags selected in the filter, change the toggle to AND. To filter cards that meet any of the tags selected in the filter, change the toggle to OR.
You can change the labels for different views/card types by clicking the Edit Label link next to the one you wish to change. This change will take effect for your entire company.
Manage Permissions
Company Admins and Business Line Admins can manage permission levels for the company level or a team level by setting access to all cards at that level as Read & Write, Read Only, or Private. Select teams and/or individuals can be given additional access to the same level.
- Read & Write means that users with this access can view, add new, and edit cards at the level selected in the left navigation.
- Read Only means that users with this access can view cards at the level selected in the left navigation but cannot add new cards or edit any cards at that level. Company Admins are not affected by this setting and will always have read & write access.
- Private means that no users can view any card at the level selected in the left navigation. Company Admins are not affected by this setting and will always have read & write access.
To begin, first, click on the company level or the desired team level in the left navigation. Then, click the Settings link and visit Manage Permission in the Settings area. For this setting, you will remain on the dashboard, rather than be taken to the global settings area for Business Outcomes.
By default, access to cards at the company level and each team level is set to Read & Write. When you drill down to any team level in the left navigation, you'll see on the Teams tab that the members of that team will have Read & Write access by default, as will the members of the team that the team rolls up to or is a sub-team of. The links next to each team level name show how many members belong to each team and when clicked, you can see who those members are.
The colored dots to the left of each team name refer to the team type. Blue = team level, Orange = multi-team, Green = enterprise team, and Pink = n-tier team.
In the example below, a team called Training Wheels was selected in the left navigation. By default, access to the cards for this team is Read & Write for everyone in the company. Also by default, under the Teams tab, you can see that access for the 9 members of the Training Wheels team is Read & Write. Because the Training Wheels team is a sub-team of the multi-team called New Arrested, the access by default for the members of the New Arrested multi-team is also Read & Write. The Individuals tab is empty, by default.
You can click the blue '9 Members' link to open a list of the 9 team members. If they have an information icon next to their name, hovering over it will show you a list of the teams they are on and their permission level for those teams. It's important to note that if a team member is on more than one team, the highest level of permission they have on any team will be applied to them on all of their teams.
If you wish to change access for everyone in the company to Read Only or Private, simply select that option from the 'Everyone in the company' dropdown. You can then use the Add New Permission button to provide different access to certain Teams and/or Individuals. If you add teams or individuals and give them access but then need to delete that entry, use the trash can icon to the right of their access level. Be sure to click Save to save your changes. Company Admins are not affected by this setting and will always have read & write access.
In the below example, everyone in the company now has Read Only access to the cards at the Training Wheels team level, however, the members of the Training Wheels team and the members of the multi-team New Arrested all have Read & Write access.
Three individuals have also been added to have Read & Write access, which is shown on the Individuals tab.
Please note: Permissions that are set in the 'Everyone in the company' dropdown, filter down to sub-teams unless you specifically changed a sub-team level to have a different permission.
For example, when changing the option selected in the 'Everyone in the company' dropdown;
- If for the company level in the left navigation, you choose Read Only, all other team levels in the left navigation will also have their 'Everyone in the company' dropdown option set to Read Only.
- If you then pick an enterprise team in the left navigation and in their 'Everyone in the company' dropdown, you change the setting to Private, the multi-teams and teams that roll up to that enterprise team will also have their 'Everyone in the company' dropdown updated to Private.
- If you then pick a multi-team in the left navigation and in their 'Everyone in the company' dropdown, you change the setting to Read & Write, the teams that roll up to that multi-team will also have their 'Everyone in the company' dropdown updated to Read & Write.
- If you then go back and select the company level in the left navigation and in the 'Everyone in the company' dropdown you change the level to Read & Write, any n-tier, enterprise, or multi-team that you did not previously change to another level will have their 'Everyone in the company' dropdown changed to Read & Write. The enterprise team you set to Private will have it's 'Everyone in the company' dropdown setting remain as Private.
Changing the selection in the 'Everyone in the company' dropdown does not affect the Teams & Individual Permissions section.
Once you have changed the permission level for any level, other than the company level, you may see a reset icon appear. This can be used if you wish to reset the permission for the level back to the same permission level as the parent team of the current level. All sub-teams under the team level will also be reset back to the same permission level as the parent team of the current level.
